How Agencies Can Grow Without Expanding Their Team

Taking on more work shouldn’t mean spending more of your day managing production.

When your agency wins a new project, the work goes beyond the deliverables. Someone needs to organize the brief, coordinate production, review the files and keep everyone updated.

Outsourcing creative work can give your agency more capacity. For that to help, the partner taking it on needs to take responsibility for the process, too.

At Apta, we work with agencies on design, websites, video and motion, with a dedicated project manager coordinating our team. You get the creative work and the communication you need to keep your projects moving.

What your agency can outsource

You can work with a creative partner for a single project, recurring production or support during a busy period.

At Apta, that includes:

The work can be for your clients or for your agency itself.

Keep the direction. Share the workload.

Your agency leads the strategy, messaging and client relationship. Our team takes responsibility for the agreed creative production.

You’re involved in the decisions and reviews that need your input. Your dedicated PM coordinates our team and keeps production moving, giving you more time to focus on your agency.

How the partnership works:

  1. Share the brief and context.

Send a document, Loom or references, or use one of our project intake forms. We clarify what’s missing and agree on scope, responsibilities and timing before starting.

  1. Bring us into your workflow.

We can join your workspace or bring you into ours. Together, we define where requests, feedback and updates will live, using tools such as Slack, Asana or ClickUp.

  1. Follow the work as it develops.

Your dedicated PM organizes production and provides daily updates on progress, next steps and anything that needs your attention. Design work stays visible in a shared Figma, so you can review it along the way.

  1. Receive an organized handoff.

Files follow the agreed naming and folder conventions. Framer and Webflow development happens in your account, giving your team access to manage the site.

Revisions are included within the agreed direction. If that direction changes, we align on the new scope before moving forward.

White label support, when you want to keep us behind your brand.

Some agencies introduce us as a creative partner. Others prefer to keep the collaboration private.

If you don’t want your client to know an external team is involved, we work under your agency’s brand. We sign an NDA before starting and never contact your client directly.

Permission to share the work is agreed with you. Nothing appears in our portfolio by default.

Your growth is our growth.

Apta started in 2022, working directly with brands. Working with agencies became a central part of our business, and some of our earliest partners are still with us.

Over time, we learn how your agency works: the standard you expect, how you give feedback and what matters to your clients. Each project builds on that understanding.

As your agency takes on more work, we plan capacity together, coordinate production and flag anything that needs attention early. Your growth creates opportunities for our team, too. We want to be a partner you feel confident bringing into the next project.

That confidence starts with feeling heard. During Workshop Film Company’s website project, we worked closely with their team to understand the vision and make room for feedback throughout production. Marcus Fung, their Executive Producer, described the experience like this:
